Doyle Security Sees Productivity Gains With Mobile Forms Platform

A new mobile order processing solution allows sales reps to seamlessly capture and integrate data with back-end systems.

ROCHESTER, N.Y. – Doyle Security Systems is experiencing improved expense control and significant productivity gains following the implementation of a new digital sales order entry system.

In use for about four months, the new system by Mi-Corporation (Mi-Co) allows Doyle Security staffers to electronically capture and integrate data, including electronic signature captures, into document imaging and back-end systems. It also provides automatic generation of contracts, as well as system inspection and test documentation.

With five branch offices including its headquarters here, Doyle Security provides commercial, residential and medical alarm systems to more than 23,000 customers in the upstate New York and Erie, Pa. regions. Its 100 employees who design, install, service and monitor these systems require immediate access to customer and system data to ensure their security and life-safety systems are properly working 24/7.

“Among others, core to our company values are customer satisfaction, excellence and accountability,” says Doyle Security COO Kevin Stone. “Our business has grown such that we needed to eliminate any possibility of misplaced paperwork that might impede customer service, and reduce cumbersome orders, and re-keying of critical customer data in our sales order processing.”

Doyle’s former sales order system used pre-printed paper forms for new customer orders and required re-keying of critical customer data used to populate back-end accounting and monitoring systems. The mobile forms platform and software by Mi-Co provides Doyle with the comprehensive solution needed to ensure accurate data collection, efficient order taking and improved process cycle time and communication between departments, Stone says.

The company has realized a number of key benefits with the new system, including improved billing efficiencies and closing of new business, real-time reporting, cost savings, expense reductions, as well as enhancing customer perceptions of Doyle as a technology company. Within the first four months of use, Stone says the company has realized measureable productivity improvements of about 5% and expects to see this grow substantially.

Mi-Co worked closely with Doyle Security to customize its mobile data capture solution, which allows sales reps to input information and record orders using iPads.
